Shelter Movers is a national, volunteer-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence. Every year, in collaboration with community partners, our volunteer teams contribute tens of thousands of hours across Canada to support people transitioning to lives free of violence and abuse.

PURPOSE OF YOUR ROLE
Reporting to the Operations Manager, the Move Coordinator Supervisor (MCS) will lead and manage a team of volunteer Move Coordinators (MC), ensuring safe and efficient moves. The MCS will train new move coordinators, oversee daily communication and planning through various platforms, and provide guidance during shifts. Duties include reviewing and approving move documents, coordinating volunteers' and clients’ schedules, and ensuring all post-move procedures are completed accurately. Additionally, the MCS will chair regular team meetings, foster team engagement, and collaborate on volunteer engagement initiatives.
YOUR FOCUS
Leadership (~25%)
- Lead, manage, and assign tasks to a team of volunteer Move Coordinators (MCs) to ensure the successful planning and execution of safe and efficient moves.
- Train and mentor team members, ensuring that role clarity, guidance and tools for success are available.
- Chair regular volunteer MC team meetings to announce new/changes to processes, as well as share ideas and hear from the MCs about their experience
- Collaborate with other internal teams, such as Volunteer Services.
- Assist in planning, and attend volunteer awareness and recognition events.
Move Planning & Administration (~50%)
- Coordinate moves regularly, particularly in urgent or complex situations.
- Schedule volunteers for maximum efficiency on moves, taking into consideration client and volunteer availability and locations.
- Update the volunteer sign ups sheet based on incoming sign ups and cancellations received by email.
- Follow up with volunteer teams to confirm their availability for the upcoming month.
- Ensure Volunteer Hub moves are reflective of the ongoing needs of clients for move team assignment purposes.
- Schedule and send the daily Call To Action (CTA) email blast based on the move calendar.
- Generate necessary move coordination documents on a monthly basis.
- Collaborate with team members from other Chapters.
- Carry out additional tasks as assigned by the Operations Manager, ensuring timely and efficient completion in line with organizational goals and standards.
- Assist with storage check-ins and visits, storage disposals and lead moves as required.
Quality Assurance (~25%)
- Maintain and update the MC trackers on a regular basis to ensure accuracy.
- Conduct daily monitoring of all move communications and planning progress via MoveHub, Google Sheets, Zoom chat channels, and other platforms, and provide daily shift reports.
- Perform Quality Assurance (QA) on all moves. - Ensure all move tasks are completed in accordance with established policies, procedures, and timelines, and follow up with relevant stakeholders as needed.
- Review and approve all move-related documents and communication to ensure they align with established policies, procedures, timelines and protocols.
- Provide backup for MCs, as needed, especially when planning timelines are not being met.
- Ensure move data is accurately recorded and update local and national teams as needed.
SKILLS YOU WILL NEED
- Experience leading and managing teams, with the ability to coordinate multiple tasks and ensure smooth operations.
- Experience in customer service and/or client relationship management, with the ability to quickly build rapport, actively listen, and de-escalate challenging situations in a high-pressure environment.
- Strong skills in training and developing team members, with the ability to provide guidance and supervision, particularly in high-stakes or complex situations.
- Excellent verbal and written communication skills, with the ability to resolve issues, provide support, and communicate clearly across various channels.
- Strong organizational and time-management skills to ensure timely completion of tasks, accurate documentation, and efficient coordination of schedules.
- Ability to think on your feet, solve problems, and make informed decisions in fast-paced or changing environments.
- Experience in overseeing and improving operational processes, ensuring accuracy, and facilitating team collaboration.
- Comfortable using digital tools and platforms to track, manage, and coordinate tasks, schedules, and communications.
- Ability to travel to various locations in and around the GTA.
- Preference to be able to drive, or to have access to alternative transportation methods.
EXTRA USEFUL SKILLS THAT YOU MAY HAVE!
- Knowledge of the Gender Based Violence sector, specifically women’s shelters, is an asset.
- Advanced understanding and interest in gender studies, including anti-racist, anti-oppressive frameworks and intersectionality of challenges faced by women and particularly survivors of abuse in the local community is an asset.
ROLE DETAILS
- JOB TYPE: Full-Time, Permanent, Hybrid
- COMPENSATION: $55,000-$62,500 Annually
- LOCATION: Toronto, Ontario
- HOURS OF WORK: 35 hours per week (Monday to Thursday 2pm-9pm EST and Friday 9am-4pm EST; schedule is subject to change with reasonable notice to account for operational needs).
