WHO ARE WE?
Shelter Movers is a national, people-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence. Every year, in collaboration with community partners, and volunteer teams, we contribute over 31,000 hours to support people transitioning to lives free of violence and abuse.

Partnering with Shelter Movers means creating a meaningful impact for families experiencing abuse. It also means showing allyship and playing a tangible role in breaking the cycle of gender-based violence in Canada. We are growing and looking to add caring, compassionate, and competent people to join our team. 

PURPOSE OF YOUR ROLE
Reporting to the Operations Manager, the Move Coordinator Supervisor (MCS) will lead and manage a team of volunteer Move Coordinators (MC), ensuring safe and efficient moves. The MCS will train new move coordinators, oversee daily communication and planning through various platforms, and provide guidance during shifts. Duties include approving move documents, coordinating volunteers' and clients’ schedules, and ensuring all post-move procedures are completed accurately. Additionally, the MCS will chair regular team meetings, foster team engagement, and collaborate on volunteer engagement initiatives.

YOUR FOCUS
Leadership (~25%)
  • Lead/co-lead and manage a team of 20-25 Move Coordinator (MC) volunteers to coordinate safe, effective, and smooth moves.
  • Train all new Move Coordinators and provide close supervision particularly over the first few moves. Provide Medium/High risk move training once the MC is ready.
  • Be readily available to MCs on your shifts to answer questions, solve problems, and provide guidance to ensure effective and safe service on moves.
  • Chair regular MC team meetings to announce new/changes to processes, as well as share ideas and hear from the MCs about their experience.
  • Collaborate with the Operations Manager to arrange a MC engagement event at least once per year.
Move Planning & Administration (~50%)
  • Assign moves to an appropriately trained and available MC.
  • Coordinate moves as needed, especially for last-minute requests or complex moves.
  • Coordinate with the scheduling team to:
  • Communicate when a Call To Action (CTA) email blast needs to be sent.
  • Send any Volunteer Cancellations the day before a move by 1 PM.
  • Ensure VolunteerHub events are up to date and monitor volunteer sign-ups.
  • Monitor the Scheduling inbox for last-minute cancellations/sign-ups.
  • Occasionally fill in for volunteer vacancies as needed
  • Provide in-person move and storage visit support as needed.

Quality Assurance (~25%)
  • Daily monitor each move communication and planning progress through MoveHub, Google Sheets, and Zoom chat channels.
  • Review and approve all move documents in a timely manner (e.g., Client Confirmations, Itineraries, and LM notes).
  • Ensure all post-move procedures are completed and follow up with relevant parties, including providing client contact to National support - ROM - at the end of the month and ensuring move data is accurately filled out.
  • Ensure ongoing sheets are kept up-to-date daily.
  • Keep the MC tracker up-to-date.
  • Ensure compliance of operational policies and procedures both at the local and National level and provide feedback where needed.

SKILLS YOU WILL NEED
  • Experience leading and managing teams, with the ability to coordinate multiple tasks and ensure smooth operations.
  • Strong skills in training and developing team members, with the ability to provide guidance and supervision, particularly in high-stakes or complex situations.
  • Excellent verbal and written communication skills, with the ability to resolve issues, provide support, and communicate clearly across various channels.
  • Strong organizational and time-management skills to ensure timely completion of tasks, accurate documentation, and efficient coordination of schedules.
  • Ability to think on your feet, solve problems, and make informed decisions in fast-paced or changing environments.
  • Experience in overseeing and improving operational processes, ensuring accuracy, and facilitating team collaboration.
  • Comfortable using digital tools and platforms to track, manage, and coordinate tasks, schedules, and communications.
  • Ability to travel to various locations in and around the local province. 
  • Preference to be able to drive, or to have access to alternative transportation methods. 

EXTRA USEFUL SKILLS THAT YOU MAY HAVE!
  • Knowledge of the Gender Based Violence sector, specifically women’s shelters, is an asset.
  • Advanced understanding and interest in gender studies, including anti-racist, anti-oppressive frameworks and intersectionality of challenges faced by women and particularly survivors of abuse in the local community is an asset.

ROLE DETAILS
  • JOB TYPE: Part-time, Permanent, Hybrid
  • COMPENSATION: $25.00-$29.00 CAD hourly
  • LOCATION: Calgary OR Edmonton, Alberta
  • HOURS OF WORK: 14 hours per week (must be available on Saturdays, Sundays, and weekday evenings as needed; schedule is subject to change based on operational needs).
